Please read it though VERY carefully, and keep it for future reference. Please note! Your admittance for exchange studies at a partner university is conditional and depends on the fact that you can be flexible in your choice of courses! We will assist you in this process. Application procedure to the host university We will send a nomination letter to each of your host universities, including your personal information (name, birth date, email address, subject area) and also your preliminary Study Plan. In response to this, they will send you (normally by email) information on how to apply to their university. In most cases your application will need to be signed and endorsed by us, your coordinators. We strongly recommend that you check again the Information sheet of âyourâ university in our database. There you will find important information, up-dated links to course catalogues, et c. Simply click the universityâs name: http://www.ht.lu.se/en/education/student/studying-abroad/exchange-studies/application-and-selection/partneruniversities/ (Please find âRelated informationâ on the right-hand side of the page, and choose âList of universitiesâ). Those of you who travel within Europe (on Erasmus+ agreements) are using exchange agreements established by the Joint Faculties of Humanities and Theology. These agreements are usually designed for students studying within the facultiesâ study areas. If you have included, instead, in your preliminary Study Plan courses in areas like Law, Business, or the like, then we ask you to be prepared for flexibility regarding your choice of courses. Your host university may not allow exchange students to study within these fields. We will contact these students individually to discuss alternative courses. It is true for ALL outgoing exchange students that the host university alone will admit you, and you need to meet their prerequisites for each course that you would like to study. In most cases, however, your preliminary Study Plan will be confirmed by your host university. In any case, once you arrive at the host university, changes will most probably be made to this Study Plan. Please note that your nomination to the host university is preliminary and conditional on your study results up until the time of departure. After you have made your application, some - but not all - universities will issue a Letter of Acceptance and send this directly to you. Please make sure to give/send us a copy of this letter. Other universities will mainly confirm by mail that you are welcome for studies. Please forward this kind of confirmation to us, as well. If you have any questions regarding the issuing of the Letter of Acceptance, or regarding your courses that you would like to study, or regarding the fact that you will be writing your Master's thesis at the host universities, please pose them directly to the International Coordinator at the hosting university. Erasmus+ scholarship Students studying within Europe* can apply for the Erasmus+ scholarship. As you can see from the webpage (read carefully the prerequisites), you need to submit your scholarship application online, print it, sign it and send it to the External Relations Office at Lund University. You can find the address on the web page. You must submit your application at least one month before the start of your exchange period! If you want to make sure that you receive your scholarship the same month your exchange study period starts, the application must have reached the External Relations Office no later than the 15th two months before you start your exchange studies. Please note that the following documents are required in order for you to receive your Erasmus+ scholarship: - Learning Agreement (see below). This document needs to be prepared before your departure. Download it, fill it in, sign it, and hand it in to your coordinator for a signature. - Grant Agreement, signed by you and the administrator at the External Relations Office (Ingrid Temler). The document needs to be signed before your departure â" hence the need for you to apply at least one month in advance. - Confirmation of Study Period, signed by you and the host university. To be sent in to the administrator at the External Relations Office after your mobility. Only after it has been sent in will you receive the final scholarship payment. - Report in the Erasmus+ Mobility Tool â" to be filled in after your mobility period. This is also necessary in order for you to receive the final payment. Please note! Applications that are submitted after the start of the exchange period will be denied. *University of Copenhagen and University of Iceland are not included in our Erasmus agreements. These agreements are bilateral agreements and do not include an Erasmus scholarship. Language test If you are going on exchange studies to a university that is part of the Erasmus+ programme (most universities in Europe) you are required by the European Commission to assess your language skills before and after your mobility period. It is the language in which you are going to study you need to assess. The result of the test will not determine whether you will be admitted or not. It will not be sent to your host university. The purpose of the test is rather for you to be able to evaluate your level of language proficiency before and after the exchange study period. At the moment it is possible to assess the following languages: Czech, Danish, Dutch, English, French, German, Greek, Italian, Polish, Portuguese, Spanish and Swedish. You will receive a separate email regarding the assessment procedure before and after your mobility period. You need to take the language test in order to be able to receive the first payment of your Erasmus+ scholarship! And, similarly, only when you have made the second language test will you receive your final payment. LADOK You will be established in LADOK in early April (students departing autumn 2017). This establishment will be recognised by the CSN, and you do not have to fill out and send any separate forms to CSN. Unfortunately, this first establishment in LADOK is not registered in the Student Portal, thus you will only see that you have been registered for exchange studies when the second registration is made. You have to make this second registration yourself once you have arrived to the host university. Just enter the Student Portal and register your arrival to the host university. Please note that students of Bachelor or Master Programmes need to be registered within their programme also during the semester during which they study abroad. This is NOT the case, however, for students studying single subject courses (enstaka kurser). Please hand in the form to the International Office at the latest on 5 May if you are going during the autumn 2017. Please note that there are three parts of the Learning Agreement; one that is supposed to be completed before your mobility period (this is the paper you shall hand in to us before 5 May), one that shall be completed during your mobility and one that must be completed after your mobility. The last part can be replaced by your Transcript of Records. All documents must be handed in to the International Office at the Faculties of Humanities and Theology. You can download the Learning Agreement from this web page: http://www.ht.lu.se/en/education/student/studying-abroad/exchange-studies/when-youve-beennominated/application-to-the-host-university/ Transfer of grades Before departure you need to find out how many credits at your host university that equal 30 Swedish credits before departure. This is your own responsibility, and in most cases you can find the information in the list mentioned earlier on: http://www.ht.lu.se/en/education/student/studying-abroad/exchange-studies/applicationand-selection/partner-universities/ When you leave your host university, you shall ask them to send your Transcript of Records (betyg) directly to us. As soon as we have received them, we can enter your results into LADOK. The grades will be entered as TG (Tillgodoräknad). However, we will manually enter the local grading scale and your achieved local grade, which will be a good indication of the actual level of your result in any particular course. Please note that In case you are studying at a Bachelor or Masterâs Programme, your programme coordinator or study advisor will enter your credits into LADOK, and transfer them into the programme. For students studying single subject courses (enstaka kurser), it is important to note that in case you would like to have your host universityâs credits exchanged for a Lund University course/part of course or activity (ekvivalering) you need to contact your home department well in advance of your departure in order to have this confirmed. The department secretary will enter these credits into LADOK. Different semester dates Some partner universities have different semester periods, and this is something you need to check. If your exchange study period overlaps with the semester at Lund University you need to inform your programme coordinator or equivalent, and together you should make a plan on how to settle this. CSN Since it sometimes takes time to transfer credits from the host university we recommend that you apply for a student loan for two semesters even if you are only going to be away for one. Your application will then be for studies abroad, for semester one, and for studies in Sweden, for semester two. Please note that after applying for funding from CSN, you will be asked by them to provide a confirmation from your host university as regards their academic calendar, i.e. the actual dates for the semester(s) you will spend there. This does not need to be in the form of an official Letter of Acceptance, but rather a print-out from the host universityâs web page, or an excerpt from their Fact sheet. Insurance Please make sure that you have read about the Student Out (Student UT) insurance on our website (with links to the Kammarkollegiet, which is the issuing organisation): http://www.ht.lu.se/utbildning/student/studerautomlands/utbytesstudier/du-som-har-nominerats/forsakring/ If you are going to study in Europe you need to bring your health insurance certificate, which you can get at Försäkringskassan. After your exchange period Evaluation of your exchange period abroad As mentioned above, students studying in Europe will make an assessment of their exchange period using the Erasmus+ Mobility Tool, which is the EU Commission's own evaluation system. The report form will be sent automatically to everyone who has received an Erasmus+ grant after they have completed the mobility. We also would like all of you to write a summary of your study abroad period. This will help us to evaluate and promote our partner universities. After you have returned home you will receive more information about this.
